About the Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
About the position
The Consular and Passport officer manages the provision of consular, passport and notarial services to Australian citizens in the UAE in accordance with departmental guidelines. The position supports consular enquiries and will be required to provide on the ground consular support including arrests/detentions, hospitalisations, medical evacuations, deaths, and whereabouts cases of Australian citizens.
The key responsibilities of the position include, but are not limited to:

Manage consular enquiries and provide on the ground consular support including arrests/detentions, hospitalisations, medical evacuations, deaths, and whereabouts cases of Australian citizens.

Provide a range of passport and notarial services, including conducting client interviews in accordance with the Australian Passports Act

Provide timely advice and reporting on consular and passport cases, including sensitive or complex matters.

Develop and maintain a strong network of key contacts across the region, including regular liaison with local authorities in relation to consular and passport matters

Supervise the Consular and Passport Assistant, establish work priorities, monitor performance, provide regular feedback and identify learning opportunities.

Maintain and operate consular and passport-related databases, filing systems, records, and statistics

Perform sub cashier duties and manage the safe custody and accountability of public monies in accordance with financial policy

Act as cheque signatory/electronic signatory to authorise financial payments from post’s official bank account

Contribute to the preparation of consular and passport related reporting including travel advisories, contingency plans for major events and post’s Crisis Action Plan (CAP)

Provide backup support to the Receptionist / Consular and Passport Assistant with counter duties as required, including performing full reception duties during periods of leave
Qualifications/Experience

Strong oral and written communication skills in English and Arabic, including the ability to undertake translation tasks.

Strong interpersonal skills, including the ability to liaise with government representatives, and develop and maintain a wide range of relevant contacts.

Strong ability to think strategically, locate, synthesise, analyse and communicate complex information and make decisions using sound judgement, expertise and knowledge.

High-level prioritisation and organisational skills, including the ability to work under pressure and meet tight deadlines

Ability to work flexibly, independently and in a diverse team environment.

Willingness to travel, domestically and internationally, for work purposes as required.

Proficiency in Microsoft Office software applications.

Assessment
Applications will be assessed by a Selection Panel, after the interview an Arabic language assessment will be required and a driving assessment with an officer from the Embassy. Once interviews are held, an offer will be made to the applicant considered as most suitable for the role.
