The Department of Foreign Affairs and Trade (DFAT) is the lead agency managing Australia's international presence and coordinates with other government agencies to ensure that the pursuit of Australia’s interests. POSITION DETAILS

Title:  Executive Assistant to the Head of Mission (Ambassador)

Term:   Full-time (On-going) Contract

Agency:  Department of Foreign Affairs and Trade

Classification:  LE3

Salary: AED 89,243 per annum plus 71,000 per annum housing allowance

ROLE

This position provides high-level executive, administrative and organisational support to the Head of Mission (HOM) of the Australian Embassy in Abu Dhabi.  Duties also include organising official events and functions and providing assistance for visiting officials.

 

This position requires an Australian security clearance and is open to Australian citizens only.   

 

 

DUTIES

The key responsibilities of the position include, but are not limited to:

 

  • Provide executive, administrative and organisational support to the HOM
  • Prepare and manage the HOM’s program and schedule of appointments, including arranging official appointments, receiving and escorting official visitors and making travel arrangements
  • Develop and maintain networks and relationships with key internal and external stakeholders
  • Organise representational functions and maintain accounting records for the HOM’s representation allowance, reimbursements and advances
  • Assist with program preparation, booklets and logistical support for visiting officials
  • Provide assistance with official functions and commemorative events
  • Perform Local Area Network Administrator (LANA) duties as required
  • Backup the Visits and Public Diplomacy Officer during periods of absence

SELECTION CRITERIA

  1. Professional experience as Executive/Personal Assistant to a senior manager or equivalent employment experience, with an appreciation of undertaking this role in a secure environment.
  2. Superior office management and organisational skills with the ability and willingness to undertake a wide range of administrative tasks, to take initiative, respond to challenges and set priorities.
  3. Excellent oral and written communication skills and highly developed liaison and interpersonal skills.  Ability to provide support to the Embassy’s policy team.
  4. Demonstrated IT skills, including Microsoft Office and other applications relevant to the position.
  5. Team oriented and flexible approach and the ability to handle pressure, make sound judgements and maintain confidentiality.
  6. An Australian citizen and willing to disclose all relevant information as part of an Australian security clearance process.

 

ASSESSMENT

Applications will be assessed by a Selection Panel and a shortlist established for interview. Shortlisted candidates may be asked to attend a second interview with the Head of Mission.  Once interviews are held an offer will be made to the applicant considered as most suitable for the role.
